Transaction Coordination: What We Do

Our main goal is to assist you in reaching a smooth, effective close of escrow for your real estate transaction. During your real estate transaction we facilitate the administrative tasks of communication regarding documents between real estate agents, buyers, sellers, and escrow companies.

We are equipped to handle real estate contracts, disclosures, contract timeline disclosures, and ensure that the transaction file is closed with efficiency.

Tasks Performed On Behalf of Real Estate Agent:

  • Generate and auto-populate all forms after signed purchase agreement or counter offer.
  • Review contracts and disclosures for completion and accuracy. Checking for missing signatures/initials.
  • Order home warranty and natural hazard disclosure (NHD report).
  • Provide list of contract deadlines such as (it is agent's responsibility to follow/meet deadlines):
    • Dates outlined in listing and/or purchase agreement
    • Contingency removal deadline
    • Final walk-through
  • Keep all parties up-to-date on status of transaction file
  • Confirm close of escrow is as scheduled and notify parties of any hurdles along the way.
  • Maintain secure transaction file on REeBroker Group transaction platform. Send links to all uploaded PDF documents in the file to clients.

Tasks Real Estate Agent is Responsible For:

Real Estate
  • Filling out of Listing Agreement and Purchase Agreement to clients specific requests.
  • Negotiations and paperwork preparations related to but not limited to: request for repairs, addendum, etc.
  • Changes to the contract are performed by the agents.
  • Contingency removal paperwork
  • Schedule and order inspections
  • Scheduling escrow appointments related to close of escrow paperwork and notary.

All real estate agent's are required to be CAR members and have their own access to Zipforms.

In order for the Transaction Coordinator to use your Zipforms, CAR charges a $250 for Elite Agent annual fee which may be prorated for unlimited number of transactions. This annual fee is the responsibility of the agent and must be paid up-front.
